1. What we collect
When you register as a member and use this service, we collect the information you provide and the records created by your use of the service.
- Account details: name, company name, e-mail address, telephone number, country and port, and the login credentials you set.
- Transaction records: the vehicles you request or order, bid amounts, invoices, shipping details (vessel, B/L, ports) and messages you exchange with our staff.
- Usage records: login history, IP address, browser type, and the pages you open, kept for security and for improving the service.
2. Why we use it
We use the information only for the purposes below. If we ever need it for another purpose, we will say so before using it.
- To operate the auction agency service: registering you, showing vehicles, accepting bids and orders, arranging purchase, inspection, documents, export and shipping.
- To issue invoices and confirm payment.
- To contact you about your orders, and to answer your questions.
- To keep the records that Japanese law requires us to keep (for example records of second-hand goods transactions and customs records).
- To keep the service secure: detecting unauthorised access, preventing abuse, and investigating problems.
3. Who we share it with
We do not sell your information. We share it only where it is needed to complete the work you asked us to do, or where the law requires it.
- Auction houses and vehicle inspectors in Japan, to bid on and collect the vehicle you selected.
- Shipping companies, customs brokers and port operators, to export the vehicle to the destination you specified.
- Banks, to confirm payment.
- Public authorities, when the law requires disclosure.
4. Where your information is stored and processed
Please read this section carefully: part of our service runs outside Japan.
- Our database and file storage are provided by a hosting company located in the United States. Your account and transaction records are stored there.
- When our staff receive internal notifications about your orders, those notifications are delivered through Slack (Slack Technologies, United States) and may contain your company name and the subject of your message.
- Auction sheets are translated with the help of an AI service (Anthropic, United States). We send the auction sheet image of the vehicle. We do not send your name, address or contact details for this purpose.
- These countries may have data protection rules that differ from those of Japan or of your own country. We take contractual and technical measures to protect the information we send.
5. How long we keep it
We keep account and transaction records for as long as you remain a member, and afterwards for the period required by Japanese law (records of second-hand goods transactions and export/customs records). Access and security logs are kept for a shorter period and are deleted automatically.
6. How we protect it
Access to member information is limited to the staff in charge of your account. Access is recorded. Passwords are stored in a form that does not allow us to read them, and we are progressively strengthening the way they are stored.
7. Your rights
You may ask us to show you the personal information we hold about you, to correct it, to stop using it, or to delete it. Write to the contact below with enough detail for us to identify you. We will reply within a reasonable period.
Please note that we cannot delete records that we are required by law to keep, such as records of a completed vehicle transaction. In that case we will tell you which records must remain and why.
8. Cookies and similar technologies
We use cookies that are necessary to keep you signed in and to keep your session secure. We do not use advertising cookies, and we do not embed third-party advertising or analytics trackers in the member site.
Vehicle photographs are delivered from the auction data provider, so your browser connects to that provider when photographs are displayed.
